Reservations Supervisor

With access to circa 2,200 bedrooms in South Kensington and North Acton, over 100 conference/meeting venues in central London, and a premium summer school hosting 500 students annually, Commercial Operations generates valuable income for Imperial to supplement its core activities.

We are seeking a highly motivated Reservations Supervisor to join the Commercial Operations team at Imperial College London. Based at the South Kensington, White City and North Acton campuses and reporting to the Commercial Summer Lettings Sales Manager, you will be responsible for leading the summer accommodation temporary reservation teams in reaching its targets.

Duties and responsibilities

• Manage the Temporary Reservation Sales Agents, set targets, and ensure that these are met.


• Manage the recruitment process and training of the Temporary Reservation Sales Agents and provide consistent support and development during their contracted period.


• Assist the Accommodation Sales Manager and the Product and Revenue Specialist in the day to day administration of booking extranets, retail and allocation systems to ensure up-to-date availability to sell our summer accommodation


• Support the Accommodation Sales Manager with forward thinking and planning, to grow the department and meet targets.


• Maintain a good relationship with internal and external clients and suppliers


• Report to the Accommodation Sales Manager activities, challenges, business trends and opportunities to increase revenue and brand awareness

Essential requirements

• Extensive reservations and experience within the hospitality industry in a residential venue


• Experience in managing a team of 3 staff or more


• Experience in using hotel/hospitality booking system (ideally Kinetics)


• Customer Service Experience ideally in the hospitality sector


• Experience in prioritising tasks and managing busy workloads successfully to ensure that deadlines are met


• Knowledge of and interest in the London hospitality market


• Working knowledge of MS Office applications including Word, Excel, Outlook, Office365, and Teams


• Excellent interpersonal skills


• A confident, resourceful and creative individual who can operate in a challenging environment


• Highly organised with attention to detail and accuracy


• Self-motivated, enthusiastic, and a good team player


• Excellent standard of written and spoken English and numeracy


• Ability to communicate effectively with a wide range of stakeholders


• Be able to prioritise workload, work well under pressure and cope with deadlines


• Show initiative in the role and always seek to improve skills and knowledge


• Passionate about delivering first-class customer service


• Excellent telephone manner


• A flexible approach to working, sufficient to be able to work a 5/7 days per week arrangement, work evenings and weekends, and able to work at various locations as reasonably requested
